Hosting a Tele-Conference

Hosting a Tele-Conference

Each employee of the Kawartha-Haliburton Children’s Aid Society is provided with their own Teleconferencing bridge.  This allows the hosting of teleconference calls, without the need to reserve or book a time.  In this way there is no chance of double booking a conference bridge, or accidentally having attendees joining the wrong meeting.

  1. Each staff person has been provided with a Reservation+ welcome sheet.  This will provide you with your Toll-Free dial-in number, your international dial in number, your conference code, as well as your LeaderPIN.  The sheet will have been provided to you in an email and will look like this:
  2. When you wish to schedule a teleconference, open Outlook, go to your Calendar and select New Meeting.  Complete your meeting information and invite attendees as per normal.  In the meeting notes, be sure to include your Toll-Free number, and your Conference Code.  DO NOT include your Leader PIN, and send the invite to the people you wish to invite to your meeting.
  3. When it is time for your meeting, dial your Toll-Free number.  The call will be answered by Reservationless Plus teleconferencing.  Enter your conference code followed by the # sign. It will then ask you to press * if you are the leader for the call.  Press the * key, followed by your Leader PIN.  You will then be asked for your name.  Once you have completed this process, you will be entered into the conference call and the conference call will start.  NOTE:  Your attendees cannot join the call until you, as the host, start the meeting with your Leader PIN.  Your attendees will be kept on hold until you join the room.
